Records attempted and or achieved on regular weekly carnivals:

1. Advance Notice of Attempt

  • For records attempted on regular Friday Club Nights, the athlete’s guardian must inform a committee member before the event begins that a Club Record attempt is planned. This allows for the record attempt to be witnessed, appropriate measures to be taken for accurate timing, measurement, and validation.

2. Valid Conditions

  • The record must be achieved under standard, fair-weather conditions.
  • The event must be conducted in accordance with club rules and age-specific regulations.
  • To qualify for a record, the athlete must be participating in their appropriate age group and gender for that event (as per NSW Athletics rules).

3. Verification

  • The performance must be witnessed and verified by at least two official club volunteers, one of whom must be an executive committee member or qualified official.
  • All measurements or timing must be accurate and recorded using approved club equipment.

4. Record Submission

  • If a record is believed to have been achieved, the guardian and athlete (where able) must complete and submit the Club Record Form on the same day as the attempt.

 Records achieved at Championship Events:

  • Records may only be broken at Major NSW Athletics Carnivals (e.g. Zone, Regional, State Multi Events, State Relays , LANSW State Championships, NSW Juniors, Country Championships, Nationals, ALAC, Trans-Tasman and Australian team competitions)
  • At ANSW and Athletics Australia sanctioned events, the measured windspeed must not exceed +2.0 m/s) for sprints and hurdles events up to 200m and horizontal jumps events. A wind indication must be recorded.
  • For records achieved at these events, no physical record form is required.
  • Parent/guardian or the athlete (if able) must notify the committee by emailing: secretary@machunter.com.au
  • The email must include:
    – Athlete’s full name, age, and registration number or national ID
    – The event name, date, and location
    – A clear link or photo of the official result showing the achievement
  • Once submitted, the committee will review the performance and follow the  review and approval process outlined below.

Review & Approval Process (for both regular weekly carnivals and championship events)

  • The Committee will carefully review all record submissions.
  • Records will only be approved if all criteria have been clearly and fully met.
  • The committee’s decision is final and will be communicated to the athlete or guardian once complete.
  • Approved records will be formally acknowledged and recorded in the official Club Record listings.

Important Reminders:

  • Record attempts without prior notification on club nights will not be eligible.
  • Any record submissions must be truthful, complete, and clearly supported by evidence that can be independently verified by the committee.
  • A Club Record is more than a number—it represents the integrity, effort, and history of our club.
  • Let’s celebrate new records respectfully, while honouring those who have come before.
